This Communication square privacy policy has been compiled to better serve those who are concerned with how their ‘Personally Identifiable Information’ (PII) is being used online. PII, as described in US privacy law and information security, is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. Please read our privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your Personally Identifiable Information in accordance with our website.
This policy covers our website, our services, our phone and messaging channels (including SMS and WhatsApp) and the Communication Square Phone mobile app on Google Play and the Apple App Store. Sections 13 to 15 describe the app, phone calls and messaging channels, and section 16 explains how to ask us to delete your data.
1. What Personal Information Do We Collect from the People That Visit Our Blog, Website or App?
When ordering or registering on our site, as appropriate, you may be asked to enter your name, email address, phone number, credit card information or other details to help you with your experience.
If you use the Communication Square Phone app, see section 13.
2. When Do We Collect Information?
We collect information from you when you fill out a form, and book an appointment on our site.
3. How Do We Use Your Information?
We may use the information we collect from you when you register, make a purchase, sign up for our newsletter, respond to a survey or marketing communication, surf the website, or use certain other site features in the following ways:
- To quickly process your transactions.
- To send periodic emails regarding your order or other products and services.
- To follow up with them after correspondence (live chat, email, or phone inquiries)
4. How Do We Protect Your Information?
Our website is scanned on a regular basis for security holes and known vulnerabilities to make your visit to our site as safe as possible.
We use regular Malware Scanning.
Your personal information is contained behind secured networks and is only accessible by a limited number of people who have restricted access rights to such systems and are required to keep the information confidential. In addition, all sensitive/credit information you supply is encrypted via Secure Socket Layer (SSL) technology.
We implement a variety of security measures when a user places an order to maintain the safety of your personal information.
All transactions are processed through a gateway provider and are not stored or processed on our servers.
5. How We Share Your Information?
The Brand, Communication Square LLC, has a Privacy Policy that makes it clear that a consumer’s Personally Identifiable Information (PII) will not be shared, sold, or rented to third parties for the purpose of marketing.
6. SMS and Mobile Number Data Policy
This section specifically governs the privacy of data related to our SMS/text messaging program.
– No Sharing for Marketing: No phone/mobile number information will be shared with third parties or affiliates for marketing or promotional purposes.
– Consent Data Confidentiality: We will not sell, share, or rent your SMS opt-in information and consent to any third party for any reason.
– Necessary Service-Related Sharing: While we will not share this data for marketing, we may share your personal data, including your SMS opt-in or consent status, with third parties that assist us in providing messaging services. This includes technology platform providers, phone carriers, and other vendors involved in the delivery of text messages. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties except for the essential purpose of transmitting messages as part of the service you have agreed to.

7. Do We Use ‘cookies’?
Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. For instance, we use cookies to help us remember and process the items in your shopping cart. They are also used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services. We also use cookies to help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.

This does not include website hosting partners and other parties who assist us in operating our website, conducting our business, or serving our users, so long as those parties agree to keep this information confidential. We may also release information when it’s release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property, or safety.

However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

Our website includes Google AdSense code, added through Google Site Kit, and may display advertising served by Google. The rest of this section describes how that works.
Google, as a third-party vendor, may use cookies to serve ads on our site. Google’s use of the DART cookie enables it to serve ads to our users based on previous visits to our site and other sites on the Internet. Users may opt-out of the use of the DART cookie by visiting the Google Ad and Content Network privacy policy.
When Google advertising is active on our site, the following may be used:

We use first-party cookies (such as the Google Analytics cookies) to understand how visitors use our website. When Google advertising is active, we, along with third-party vendors such as Google, may also use third-party cookies (such as the DoubleClick cookie) or other third-party identifiers together to compile data regarding user interactions with ad impressions and other ad service functions as they relate to our website.

CalOPPA is the first state law in the nation to require commercial websites and online services to post a privacy policy. 10. How Does Our Site Handle Do Not Track Signals?
Some web browsers can send a “Do Not Track” (DNT) signal. There is no common industry standard for responding to it, and our website does not currently change its behaviour when it receives one. Google Analytics, Google Tag Manager and Google advertising code load whether or not the signal is sent. For visitors in the European Economic Area, the United Kingdom and Switzerland, our Google tags are set to deny analytics and advertising storage by default. Anyone can block or delete cookies in their browser (section 7) and use the opt-out options in section 9.
11. Does Our Site Allow Third-party Behavioral Tracking?
Yes. We use Google Analytics and Google Tag Manager to understand how visitors use our site, and our site includes Google AdSense code. These Google services may use cookies and similar identifiers to recognise you across websites, for example to show ads based on your previous visits, as described in section 8. You can limit this through your browser settings (section 7) and the opt-out options in section 9.
COPPA (Children Online Privacy Protection Act)
When it comes to the collection of personal information from children under the age of 13 years old, the Children’s Online Privacy Protection Act (COPPA) puts parents in control. The Federal Trade Commission, United States’ consumer protection agency, enforces the COPPA Rule, which spells out what operators of websites and online services must do to protect children’s privacy and safety online.
We do not specifically market to children under the age of 13 years old.
Fair Information Practices
The Fair Information Practices Principles form the backbone of privacy law in the United States and the concepts they include have played a significant role in the development of data protection laws around the globe. Understanding the Fair Information Practice Principles and how they should be implemented is critical to complying with the various privacy laws that protect personal information.

12. Can Spam Act
The CAN-SPAM Act is a law that sets the rules for commercial email, establishes requirements for commercial messages, gives recipients the right to have emails stopped from being sent to them, and spells out tough penalties for violations.
We collect your email address to:

- Process orders and send information and updates pertaining to orders.

13. Communication Square Phone App
This section applies to Communication Square Phone, the Android and iOS app that Communication Square LLC provides to its employees and contractors for company business calls and access to our business system. The app is not intended for the public. Only people with a Communication Square work account can sign in.
The app is distributed through Google Play and the Apple App Store. Google and Apple handle your download and store account under their own privacy policies. They give us only aggregated statistics, such as install counts and crash rates, which do not identify you.
What the app accesses on your device
- Microphone: only while you are on a call that you placed or answered, to carry your voice. The app itself does not record calls. Calls may be recorded by our telephone system, as announced to callers at the start of the call.
- Notifications and full-screen calls: to ring for incoming calls, including on the lock screen.
- Bluetooth: to use your headset or car for calls.
The app does not access your contacts, photos, location or other apps, and it does not use an advertising ID.
What information the app processes
- Your work account sign-in, handled by our business system and Microsoft sign-in.
- A push token and a random installation ID, so that incoming calls reach your device.
- Business call details: the numbers involved, time and duration, and the customer record they relate to. These are stored in our business system, not on the phone.
- Technical information for support: the app and operating-system version, and call connection states and error codes. Phone numbers are shortened and access tokens are never included.
We do not use this information for advertising and we do not sell it. The app contains no analytics or tracking tools.
Who processes it for us
- Twilio Inc. connects calls and delivers incoming-call notifications.
- Google Firebase Cloud Messaging (Android) and Apple Push Notification service (iOS) wake the app for incoming calls.
- Our business system (Odoo), operated by Communication Square, stores call records.
Information travels over encrypted connections (TLS). The app stores no passwords on the device.
Keeping and deleting information
- The device registration is removed when you sign out, when you uninstall the app, or when your work account is closed.
- Call records are kept according to our business record-retention policy.
- To delete your app data or your other information, follow the steps in section 16.
14. Phone Calls
When you call us, or we call you, the call is connected through our telephone providers, including Twilio Inc. and our phone carriers.
- Call details: your phone number, the time and duration of the call, and who handled it. These are stored in our business system so that we can follow up and keep your account history.
- Recording: calls may be recorded for quality and training, as announced at the start of the call. Recordings are kept by Twilio and made available only to authorised staff.
- Automated assistant: some calls may first be answered by an automated voice assistant. It uses Microsoft Azure OpenAI to understand your request, look up your account, and pass you to a person when needed. The conversation may be transcribed and summarised for the member of staff who takes the call.
- Before discussing account or payment details, we may ask you to confirm your identity.
Call details, recordings and transcripts are kept according to our business record-retention policy. They are not used for advertising and are not sold.
15. WhatsApp and Other Messaging Channels
When you message us on WhatsApp, the messages are delivered through the WhatsApp Business Platform, operated by Meta Platforms. We store the conversation in our business system so that we can answer you and keep your account history.
- We message you on WhatsApp only after you have contacted us there or agreed to receive messages from us. You can stop at any time by replying STOP or by telling us.
- Your WhatsApp number and your consent are not shared with third parties for marketing. They are shared only with the providers that deliver the messages, as described for SMS in section 6.
- The same applies to other messaging channels we may offer, such as web chat or email support. Messages are used to answer and support you, and are not sold.
16. Deleting Your Data
You can ask us to delete the personal information we hold about you. This applies to the Communication Square Phone app, to calls and messages with us, and to information you gave us through our website.
How to ask
- Email [email protected] from the email address we know you by, with the subject “Delete my data”. You can also use our contact page.
- Tell us what to delete: your Communication Square Phone app data, your call and message records, or everything we hold about you.
- We may ask you to confirm your identity before we delete anything.
Communication Square Phone app
- Signing out of the app removes your device registration (the push token and installation ID) straight away. If you uninstall the app instead, the registration stops working and is removed automatically.
- On request we also delete the app data linked to your work account: device registrations and technical support records.
- Your work account itself is managed by Communication Square. When it is closed, access to the app ends and its device registrations are removed.
What we keep
We keep records that we must retain by law or for legitimate business purposes, such as invoices, tax records and call records that form part of a customer account history, for as long as our record-retention policy requires, and then delete them. Everything else is deleted.
We confirm your request and complete it within 30 days.
